How to Improve Your CSA Scores: Practical Tips for Carriers

Your CSA (Compliance, Safety, Accountability) scores directly affect your ability to win freight, pass shipper and broker qualification checks, and avoid FMCSA interventions. The good news is that BASICs scores are not static — they are recalculated monthly and are heavily weighted toward recent activity. Here are proven strategies to bring your scores down.

1. Understand What Is Driving Your Scores

Before you can improve, you need to know exactly which violations are contributing most to your scores. Log in to the FMCSA's SMS portal to view your detailed BASIC data, or review your inspection and violation records on Carrier Lookup. Identify which violations carry the highest severity weights — a single "acute" violation like an HOS falsification can impact your score more than ten minor lighting violations. Focus your improvement efforts on the highest-weighted violations first.

2. Challenge Inaccurate Violations with DataQs

If you believe a violation was recorded inaccurately during a roadside inspection, you can challenge it through the FMCSA's DataQs system (dataqs.fmcsa.dot.gov). Common reasons to file a DataQ include: the violation was corrected at the roadside but still recorded, the inspection was assigned to the wrong carrier, the vehicle was not owned or operated by your company, or the violation code does not match the actual defect. If your challenge is accepted and the violation is removed or downgraded, your BASIC score will be recalculated. Review every inspection report carefully and file DataQs promptly for any inaccuracies.

3. Strengthen Your Pre-Trip Inspection Program

The majority of vehicle-related violations stem from items that should have been caught during a proper pre-trip inspection: brake adjustment, tire condition, lighting, and fluid leaks. Invest time in training drivers to perform thorough, systematic pre-trip inspections. Provide reference guides, host refresher sessions quarterly, and consider ride-along evaluations where a safety manager observes the driver's pre-trip process. A good pre-trip takes 15 minutes and prevents the violation that could cost you thousands in higher insurance premiums and lost freight contracts.

4. Tighten Preventive Maintenance

Vehicle Maintenance is one of the most common elevated BASICs. Implement or tighten your PM program with inspections at every 10,000 to 15,000 miles. Pay special attention to the most commonly cited violations: brakes (both adjustment and component condition), tires (tread depth and sidewall condition), lights, and cargo securement hardware. Document every PM service and keep records for at least two years. When inspectors see well-maintained equipment, they are less likely to conduct a full Level I inspection.

5. Address HOS Compliance Proactively

Hours-of-Service violations are heavily weighted in the CSA scoring system. Configure your ELD system to alert drivers before they approach daily and weekly limits. Review ELD data at least weekly, looking for unassigned driving time, form and manner errors, and improper use of personal conveyance or yard moves. Coach drivers individually when you see patterns of near-violations. Many carriers find that a 30-minute buffer — dispatching drivers to arrive with 30 minutes of drive time remaining — dramatically reduces HOS violations.

6. Clean Inspections Help Your Scores

Many carriers do not realize that clean inspections (inspections with no violations) positively impact their BASICs scores. The CSA system uses the total number of inspections as the denominator when calculating violation rates. More clean inspections dilute the impact of past violations. Some carriers encourage drivers to voluntarily enter open weigh stations and inspection sites, knowing that a clean truck is likely to pass without violations and improve the carrier's overall profile.

7. Monitor Monthly and Act Fast

BASICs scores are recalculated monthly. Set up a routine to review your carrier profile on Carrier Lookup at the beginning of each month. Look for new violations, check whether your OOS rates are trending up or down, and verify that any DataQ challenges have been processed. Early detection lets you address problems before they escalate into FMCSA interventions or shipper disqualifications.
